Undergraduate Move-In Dates (On-Campus and Neighborhood Units)

  • New Student Move-In (First Year & Transfer): Friday, September 20
  • Returning Student Move-In: Saturday, September 21, 2024
  • Move-In continues on Sunday, September 22, 2024, with limited services

Move-In Instructions

Residents approved to arrive early as part of a training or orientation group will receive an additional email notification with early arrival instructions and their early arrival contract. Limited services will be available on campus prior to Friday, September 20th.

Please read the following for important information regarding your move-in process: 

MOBILE CREDENTIAL REMINDER

Students must complete the Online Photo Submission and steps to set up a digital ACCESS credential before arriving on campus, or they will not be able to enter their assigned space. Please direct any questions to the ACCESS Office  or visit www.scu.edu/access/.

ARRIVAL TIMES:

Arrival times are assigned based on last name, to assist with traffic flow and building congestion. 

LAST NAMES A-G: Students whose last name begins with A - G must arrive at their assigned campus checkpoint at 8:30 AM

LAST NAMES H-O: Students whose last name begins with H - O must arrive at their assigned campus checkpoint at 10:00 AM

LAST NAMES P-Z: Students whose last name begins with P - Z must arrive at their assigned campus checkpoint at 11:30 AM

Students should NOT plan to arrive on campus (or drop off belongings) any earlier than their assigned arrival time. The City of Santa Clara will not allow cars to line up on city streets outside of campus checkpoints. Those who arrive at the campus prior to their arrival time will need to leave the vicinity of campus so that others with earlier arrival times can complete the move-in process.

OTHER ARRIVAL OPTIONS:

Students who are unable to arrange travel to campus during their assigned check-in time on Friday, September 20, 2024, may check in at their residence hall service desk during the following dates and times. These dates may not include the assistance of student, staff, or faculty volunteers.

  • Saturday, September 21, 2024, 9:00 AM - 12:00 PM
  • Sunday, September 22, 2024, 9:00 AM - 12:00 PM

Students are strongly encouraged to arrive by Friday, to take advantage of all the Welcome Weekend events and required Sunday events. Students must check in before 8:00 AM on the first day of classes or provide prior written notice to the Housing Office if plans have changed.

ENTRY CHECKPOINTS:

Campus entry checkpoints are based on building assignments and have been created for all residence halls.  Once you have successfully entered your assigned campus checkpoint, vehicles will be directed to an unloading zone adjacent to your residence hall by Campus Safety staff and campus volunteers. Vehicles must get a loading zone hangtag at their assigned entry checkpoint in order to proceed to their residence hall.

Approach Santa Clara University via I-880. Take Exit 2 for CA-82/The Alameda. The Alameda becomes El Camino Real.

CHECK-IN PROCEDURES:

Students should bring documentation of their room assignment at the time of check-in to verify their check-in checkpoint and check-in time (below). After being directed to their unloading zone, the resident student should proceed to the main entrance of their assigned residence hall to receive building access & paperwork. Once the student is checked in, residents should then begin to move belongings to the assigned residence hall room. Students and those individuals assisting them with move-in will want to get all belongings completely moved into their residence hall rooms in a timely manner in order to participate in Welcome Weekend activities.

At least one person must remain with the vehicle at all times. Vehicles will have 15 minutes to unload personal items with the assistance of student, staff, and faculty volunteers. Once the vehicle has been unloaded, it must immediately be moved to a permanent parking spot, as directed by staff and signage. Unattended vehicles risk being ticketed and towed.

All boxes and property must be labeled before arrival, using tape and permanent marker, with the student’s name and housing assignment clearly visible. Any fragile, irreplaceable or expensive items must be moved by the student or family members. SCU does not accept responsibility for any damages or any other loss to any personal property. Due to the number of students moving into the residence halls, the use of elevators will be reserved for campus volunteers moving items between floors. Students, and anyone assisting, are to use stairways to move from floor to floor on the move-in day rather than rely on the elevators.

PARKING:

Parking will be free of charge during the Move-In period. Residents who intend to park vehicles on site long term must purchase a parking permit through Parking & Transportation Services.

 

Returning Student Move-In Instructions

  • Students assigned to an EVEN NUMBERED room in all residence halls & University Villas can enter their assigned campus check-point to begin the move-in process at 8:30 AM. 

  • Students assigned to an ODD NUMBERED room in all residence halls & University Villas can enter their assigned campus check-point to begin the move-in process at 10:30 AM.

Neighborhood Unit students move in on Saturday, September 21, 2024

Please read the following for important information regarding your move-in process: 

ARRIVAL TIMES:

Neighborhood Unit residents move in the beginning on Saturday, September 21, 2024, between the hours of 9:00 AM and 4:00 PM. Please plan to park at your individual Neighborhood Unit, and then walk to the Housing Office located at Benson Memorial Center - 212 to check in. 

Returning students must bring their ACCESS credentials to check in at the Housing Office. Students with inactive credentials will be provided a temporary card to gain access to their space, and will then visit the ACCESS Office located on the 1st floor of Benson Memorial Center to arrange for a permanent credential. 

OTHER ARRIVAL OPTIONS:

Neighborhood Unit students who are unable to arrange travel to campus during their assigned check-in time on Saturday, September 21, 2024, may check in at the Housing Office on Sunday, September 22, 2024, from 9:00 AM - 12:00 PM.

Students must check in before 8:00 AM on the first day of classes or provide prior written notice to the Housing Office.

PARKING

Parking at Neighborhood Units is available per space availability without a parking permit. Street parking is available in the surrounding neighborhood. Pay attention to signage for parking limitations. 

To accommodate new and returning student move-in, Market Street and The Alameda will be closed to through traffic on Friday, September 15th, and Saturday, September 16th. Expect a great deal of activity and delays in the area surrounding Santa Clara University. 

 

Frequently Asked Questions

On-Campus residents will be able to view their mailbox number on the Housing portal beginning August 1, 2024.

Residents at 553 Franklin, 569 Lafayette, and 745 Bellomy Streets will receive mail at that address.

The Campus Post Office is located in the Facilities & University Support Services - Building # 604. All student mail and packages are available for pick up at the Campus Post Office

  • Summer Hours: Monday - Friday between 10:00 AM- 2:00 PM.
  • Regular Hours resume September 3rd: Monday - Friday, from 9:00 AM - 4:30PM

  • The term P.O. BOX should never be used in your address.

  • All mail is identified and sorted by your box number. All mail without a box number will be returned to the sender. DO NOT have mail addressed to your room number or dorm name - it will not be delivered.

First-year students at Santa Clara University who live in a campus residence hall are not allowed to bring cars on to campus for during their first year on campus. First-year students who can provide adequate evidence that they will face hardship are able to apply for a permit by filling out the Hardship Application Form with the Parking & Transportation Services office. 

Returning and Transfer students who wish to park their vehicle on campus long term must purchase a resident-designated parking pass from Parking & Transportation Services. Students must have purchased a pass prior to check-in.

All students will go to the MySCU Portal to purchase a parking permit and select the Parking & Transportation Services (P&TS) single sign on (AIMS) tile. Only eligible permits will be viewable for purchase. Once your request has been processed, you will receive an email with further instructions within two business days. 

Students residing in the University Villas will pick up a gate clicker at the Parking & Transportation Services office when their permit is processed. All gate clickers are to be returned to Parking & Transportation Services following Move-Out to avoid a replacement fee. 

Access to all Undergraduate Housing is provided via an ACCESS digital credential. If you have not completed the steps for a digital credential with the ACCESS card office, you will receive a temporary card at check in.

New incoming students will receive an email from the ACCESS card office titled “Salutations from Online Photo Submission” with a link to the Online Photo Submission site, where you will upload your. Your ACCESS image can only be submitted using the link from this email. 

Once approved, you will be ready to set up your digital credential! 

  • Enroll your mobile device in DUO, SCU's dual authentication app.
  • Download the Transact eAccounts App from the app store on your mobile device.
  • Open your eAccounts app and click "Get Started".
  • Search for Santa Clara University to access the SCU Portal login screen.
  • Enter your SCU network login to authenticate your device. This is the same credentials used for your Portal and email. 

After completing the steps above, email acomobile@scu.edu with your name and SCU ID number to receive final instructions.
