Dear Colleagues,
This email communication is the third of a series of monthly communications from the Department of Human Resources intended to provide updates and relevant information as we prepare to return to campus.
Return to Campus
The gradual return to work on campus will continue over the Summer and will be completed by the beginning of the academic year. Information related to potential flexible work options will be shared as it becomes available to HR.
- Leaders and supervisors should anticipate the steps needed to return based on business needs and communicate the associated timelines to employees, while providing as much notice as possible.
- Supervisors should also prepare for in-person onboarding and orientation for new hires, as many of them have never been to campus.
Leaders and supervisors should continue to be supportive and creative as we transition back to campus.
- Please continue to leverage remote work based on business needs to assist with ongoing vaccination efforts and as public health guidance evolves. Employees' unique circumstances should be considered over the Summer and flexible options should be evaluated to the extent possible.
- Business needs are the drivers for the gradual return and may look different for each unit.
- Returning to work in the fall will be a transition for all. Leaders and managers should allow for acclimation.
- Employees and managers may reach out to their HR Partner for support.
Vaccine Requirement: The decision to require vaccination for employees is still pending. All employees are encouraged to get vaccinated. For more information about the safety and efficacy of the COVID-19 vaccine, visit the SCU Vaccine FAQ site.
- Student employees will follow student vaccination requirements, as prescribed,
Parking Permits: Current permits expire 6/30/2021.
- Parking Services will send out details for Summer and Fall parking.
Computer Equipment: University owned computers that have not been turned on in the last year will require multiple system updates that could take a very long time.
- Information Services will share information via email as we get closer to our return to campus date about what to expect when you access your office computer again for the first time since March 2020.
Interim Summer Return Protocols
While we await final State workplace regulations to develop our summer workplace safety protocols, we are able to announce the following:
The Essential Access approval process has ended on June 15. Units now manage their own returning summer populations based on the business need to be on campus. Remote work is still encouraged over summer but units have the flexibility to determine on their own, the need for their personnel to be on campus during summer as we gradually work towards full re-occupancy in Fall.
- From June 15 to August 14, employees approved for return by their unit will self-register via a survey that will allow SCU to know who is on campus and the building(s) they will work from.
- This survey should be completed by those planning to return one or more days per week over the summer. The survey does not need to be completed until employees actually plan to return on campus.
- Each person will complete this survey individually and an email copy of their response will be sent to the Manager/Supervisor they designate in the survey.
- This information is necessary to help us comply with State contact tracing and exposure notification requirements as well as for tracking COVID-19 testing compliance.
- At least through June 30, regardless of vaccination status, masks and 6-feet of social distancing is required indoors as we await final State workplace regulations. This applies to all employees, students, contractors, and visitors.
- Social distancing requirements may restrict full occupancy in some spaces such as breakrooms, conference and meeting rooms, shared offices, etc.
- Remote meetings are encouraged even when on campus.
- Break rooms will reopen for eating with 6-feet social distancing requirements
- The daily symptom check requirement will sunset June 15
- Unvaccinated individuals are required to be tested weekly once they return to campus.
- Buildings have been prepared by University Operations for re-occupancy. This includes custodial services, building access control systems, HVAC and plumbing systems, cleaning stations, etc.
- Please note that building signage may be out of date for the next few weeks until we know what the new workplace signage requirements will be. Signs regarding masking and social distancing remain relevant through June 30.
Have You Completed The Self-Certification of Vaccination Status Form?
Under the Health Officer’s May 18, 2021 Order, all businesses and governmental entities in Santa Clara County are required to determine the COVID-19 vaccination status of their employees (as well as contractors, volunteers, and others who regularly work onsite). In light of this requirement, we are asking all SCU employees to report their vaccination status by completing a short form
