Overview: The Jesuit School of Theology, located in Berkeley, California, is a graduate school of Santa Clara University. As one of only two Jesuit theological centers in the United States, it is specifically committed to the preparation of Jesuits and others for ordination to the Roman Catholic priesthood, the preparation of men and women for varied forms of ministry in the church, the advancement of theology through scholarly contributions to academy, church, and society, and the theological, spiritual, and personal renewal of those already engaged in ministry. It does this in the ecumenical and interfaith context of the eight-member Graduate Theological Union and the adjacent University of California at Berkeley.  

Purpose: The Administrative Assistant reports to the Senior Assistant for Academic Administration and is an integral part of the team, providing support for all aspects of the office’s operations. These efforts will result in smooth and efficient business operations and enhance the School and University's efforts to create and maintain lifelong relationships with faculty and students. Scope and Impact: The Administrative Assistant for Academic Administration plays an important role by providing administrative support to the Associate Dean’s Office and participating in all activities and special events.

Specific Responsibilities: - Assist with

  • Data Entry and updates – familiarity with Colleague beneficial, but not required 
  • Filing 
  • Copy textbooks, articles for faculty (occasional) 
  • Create and deliver papers and flyers for various events 
  • Generate expense forms and prepare expense forms (with receipts) for Business Office 
  • Assist with special projects (i.e. Triennial Report for the Vatican, Graduation, Programs, Conferences; Academic Council Meetings; Faculty Colloquium) 
  • Copy and deliver documents related to academic affairs including: course forms, evaluation forms, comprehensive exams 
  • Other duties as assigned 

Qualifications:

  • A minimum of two years' experience in an administrative position, preferably in a not-for-profit office.
  • Proficiency in Microsoft Office Suite 
  • Familiarity with Adobe Creative Suite applications, specifically Adobe Acrobat Professional 
  • Willingness to learn new technology, applications and systems as they become available
  • Ability to work effectively and tactfully with a wide range of both internal and external groups; ability to collaborate effectively with co-workers and share appropriate information in a timely and proactive fashion. 
  • Ability to exercise judgment and maintain confidentiality. 
  • Ability to organize and manage multiple projects simultaneously while meeting deadlines. 
  • Capacity to arrive for scheduled work hours promptly  
  • Knowledge of Santa Clara University, the Jesuit School of Theology, and the Graduate Theological Union is preferred. 
  • Commitment to the mission, values and goals of the Jesuit School of Theology of Santa Clara University.
