Contracts
For risk management purposes, events not approved and sanctioned by the University cannot be promoted with the University's or Organization's name and/or resources. Keep in mind that some events may require a contract and little risk management while others may require substantial risk management without a contract. Defined: Regardless of the dollar amount, any agreement with a non-University agency is considered a contract and should be in writing. Contracts serve to protect the student organization and the outside agency. Payments: All contracts are executed in the name of the University on behalf of the student organization and must include the name, address, and Social Security or Federal Tax ID Number of the service provider. Payments will be made to the person or agency that corresponds with the Social Security or Federal Tax ID Number. In the event the service provider is a University employee, payment may be combined with the next payroll cycle. Requests for deposits must be negotiated, included in the agreement, and paid by University check. The CSL is available for consultation and assistance with contracts. Sometimes the artist/performer/facility has their own contract. If they don't have their own contract, you must use the University's Standard Engagement Agreement (pdf). In the event the contractee provides its own contract, the Standard Engagement Agreement is not required. If you are bringing a vendor to campus a Vendor Agreement form will be required. Hard copies of the Vendor Agreement form are available in the Center or from your advisor. The following additional documentation may be required and will be coordinated by CSL staff:
