Undergraduate Opportunities

 
 

General Expectations:

  • Be available to work 5-10 hours a week, including some weekends and/or weeknights.(Work hours may vary according to time of year.)
  • Be open to sharing your faith and life stories with other students and staff.
  • Be open and willing to meet with students to discuss their questions/interests in regards to SCU Campus Ministry offerings and implement changes as necessary.
  • Stay in communication with fellow interns and campus ministers.
  • Be in continual formation, whether through conversation, reflection, action, prayer, or some other means, and meet regularly with fellow interns for communal formation.
  • Attend the Campus Ministry Intern Retreat, Saturday, May 18, 2013.
  • Attend the Campus Ministry fall orientation on September 19-20, 2013.
 
 

Christian Diversity

  • Meet regularly with the campus minister responsible for religious diversity
  • Assist with brainstorming, planning and implementing Christian Diversity programs and activities, such as:
    • Bible study and/or another small group
    • fellowship and reflection opportunities for Christians of various traditions
    • leadership of Christians In Action to coordinate service projects in the campus and local community
    • Protestant worship services, held throughout the year at various times, and Ash Wednesday and Maundy (Holy) Thursday
    • events for the Week of Prayer for Christian Unity (January 18-25, 2014)
    • opportunities for dialogue and learning about different Christian traditions
  • Foster and strengthen partnership between Campus Ministry and other Christian clubs and groups on campus, including Christian Life Community, Core Christian Fellowship, Orthodox Christian Fellowship and Wonderfully Made
  • Publicize and promote events through Facebook, announcements, fliers, brochures, posters, tabling, etc.
  • Participate in the SCU Interfaith Council as a student representative of Christian Diversity, and work with the campus minister to ensure participation of diverse Christian traditions

Christian Life Community (CLC)

  • Be an active member of the CLC Council.
  • Publicity work, including (but not limited to):
    • Take photos of all CLC events and upload them on CLC facebook page and computer file.  Find a replacement when attendance at events is not possible.
      • Create and update CLC Facebook group, website, fliers and Flocknote, including:
      • Recruiting events: CLC Come and See nights
      • Community Building events: CLC BBQ, Bowling, Bonfire, etc.
      • Spiritual Development events: Taizé, eXaLT, prayer services, etc.
      • Service Squad events: weekly service, service immersions, etc.
      • Leadership formation events: retreat, workshops, etc.
    • Promote and attend CLC events.
    • Attend weekly CLC council meetings.
  • Office work, including (but not limited to)
    • Assist and update CLC records and files
    • Run errands when needed
    • Create CLC slideshow and upload music
    • Maintain organization of all CLC supplies, pack supplies for each event and help re-organize closet and intern office weekly.

Communications

  • Spearhead the publicity, marketing, and promotion of
    • department-wide events,
    • beginning of the year activities,
    • Campus Liturgies, including Welcome Weekend, Mass of the Holy Spirit, All Saints' Day, Ash Wednesday, Triduum, and Baccalaureate,
    • Campus Ministry Mardi Gras Celebration,
    • Lent,
    • and any/all other Campus Ministry-sponsored events
  • Coordinate the weekly announcements for Sunday liturgies
  • Meet regularly with mentor to plan responsibilities and assess progress.
  • Meet as needed with campus ministers and fellow interns to assess, prepare and implement the publicity and outreach needs of Campus Ministry.
  • Ensure accuracy of Campus Ministry's online calendars
  • Coordinate the ongoing design and updating of the Campus Ministry website (minimum of updating the weekly announcements).
  • Design the Campus Ministry bulletin boards once per year in collaboration with other interns and Campus Ministers.
  • Assist with the maintenance of Campus Ministry's social media presence, focusing on Facebook.
  • Order Campus Ministry branded items (apparel, etc.) as needed.
  • Create and maintain a record of past, present, and future logos, brochures, flyers and publicity protocol.

Desk receptionist

  • Staff the Campus Ministry reception area:
    • Greet and answer phone calls
    • Answer questions for those who enter campus ministry
    • Accept applications, forms and payment for Campus Ministry programs
    • Sort mail
    • Water plants
    • Create posters and signs for events
  • Replenish office supplies at front desk, copy room, closets etc.
  • Assist with printing, copy work, data entry for miscellaneous projects.
  • Help in the maintenance of the Meditation Room fountain.
  • Occasionally deliver flyers and materials to other campus departments.

Eucharistic Ministry

  • Days/time needed will include weekly liturgy planning meeting/Breaking Open the Word, office hours/scheduling time, Sunday 6 & 9 pm liturgies and EM preparation time, and other days/time as needed.
  • Meet regularly with mentor to plan responsibilities and assess.
  • Follow up with students interested in serving as Eucharistic ministers.
  • Recruit, schedule and maintain communication with EMs.
  • Schedule EM volunteers, complete scheduling within first week (or two) of each quarter.
  • Consult with supervisor on EM needs for liturgies.
  • Submit any announcements for Sunday liturgies by the preceding Wednesday morning.
  • Compile and regularly update EM Roster.
  • Send e-mail reminders to volunteers 2 days before they are scheduled.
Before liturgy
  • Arrive at Mission Church 35+ minutes before the liturgy for EM preparation time.
  • Facilitate preparation time/sign-ins.
  • Recruit substitutes as needed (THIS SHOULD BE AVOIDED WHENEVER POSSIBLE).
  • Walk EMs through ritual movement (i.e. gathering behind the altar table after Peace, receiving the sacred elements/bread and wine, distributing the Blessed Sacrament, returning vessels to side altar, going to the Sacristy to reverently consume remaining bread and wine).
During liturgy
  • Provide a graceful, hospitable presence in sharing the body and blood of Christ and offering blessings.
  • Station yourself at St. Joseph side altar and observe the flow of Communion Rite, refill bread and wine as needed, oversee post-communion clean-up.
After liturgy
  • Attend Hospitality/Social following the 9pm liturgy.
Additional Responsibilities
  • Assist the Director of Liturgy and Music in planning and presenting formation and training sessions for Eucharistic Ministers.
  • Plan and schedule prayer and social events for the Eucharistic ministers.

Hospitality Ministry

  • Recruit and maintain communication with Hospitality Ministers
  • Follow up with students who express interest in participating in Hospitality ministry
  • Recruit and schedule Hospitality Ministers
  • Submit any announcements for Sunday liturgies to Communications Intern by the previous Wednesday morning
  • Consult with supervisor on hospitality needs for liturgies
  • Complete schedule of Hospitality Ministers within the first two weeks of the quarter and distribute to Hospitality Ministers
  • Send email reminders to Hospitality Ministers 2 days before they are scheduled to serve
  • Oversee hospitality needs at scheduled liturgies
Before liturgy
  • Arrive at Mission Church 60 minutes prior to every liturgy
  • Position collection baskets under chairs (large basket goes under table with bread and wine)
  • Ask members of congregation to assist with the collection if there are not enough hospitality ministers
  • Assign/explain duties to Hospitality Ministers
  • Invite and instruct Hospitality Ministers for the procession of gifts (talk and walk thru):  1 for bread, 1 for wine, 1 for collection
  • Remove saran wrap from bread bowl and wine pitcher
  • Be aware when music inserts are required in addition to the song books
  • Remove ropes only once opening song has started
  • Close main doors of church during the opening song
  • If the church feels hot/stuffy, open side doors for ventilation
During liturgy
  • During the collection (after the prayers of the faithful), ensure that all collection baskets are circulated
  • Gather the money from all the baskets into the large basket
  • Cue the 3 Hospitality Ministers to process with the gifts
After the liturgy
  • Take the large collection basket back into the sacristy
  • Pass out announcement sheets as people leave
  • Sort out the song books, collect any left behind in the chairs and remove any inserts from the books
  • Attend Hospitality Social following the 9 pm Liturgy
Additional responsibilities
  • Refresh names on the eight white crosses in front of the Mission Church on a quarterly basis

Ignatian Solidarity

  • Serve as Santa Clara University's liaison to the Ignatian Solidarity Network
    • This includes serving on the planning committee for the Ignatian Family Teach-in for Justice
    • Meet regularly with mentor to plan responsibilities and assess offerings.
  • Spearhead the selection, development, and formation of the group traveling to Washington, DC to participate in the Ignatian Family Teach-In for Justice
    • Be available for weekly nighttime meetings of this group in the fall quarter
  • Serve as a Campus Ministry liaison to on-campus groups who would have a stake in Ignatian Solidarity Network-sponsored events (e.g.: SCCAP, The Ignatian Center, Political Science Department, etc.)
  • Attend summer University Leadership Summit at John Carroll University from 7/28 to 7/31 (expenses paid)
  • Participate in training that will be both specific to this internship and transferable to future involvements, especially training in group facilitation
  • Lead and/or participate in at least one small group reflection on a regular basis throughout the year
  • Work with communications intern to promote ISN-related events
  • Collect and distribute announcements regarding justice-oriented events connected to the work of the Society of Jesus (the Jesuits)
  • Collaborate with the campus minister to strategically plan each quarter
Qualifications:
  • Either a current graduate student or an undergraduate student, with a preference for one who has attended the Ignatian Family Teach-In for Justice
  • Prior experience with small group facilitation
  • Some familiarity or experience with Ignatian Spirituality
  • Openness to learning about and promoting issues of justice as they connect to faith

Interfaith Ministries

  • Meet regularly with the campus minister responsible for religious diversity
  • Have a strong interest in cooperation and understanding across diverse religious traditions
  • With the campus minister, participate in planning, implementing and evaluating various interfaith activities on campus, including (but not limited to):
    • leading the student Interfaith Council and its biweekly Interfaith Dinner Discussions, and creating other opportunities for dialogue and learning about different religions
    • the campus-wide Thanksgiving Interfaith Celebration and other prayer opportunities as appropriate
    • interfaith service projects (quarterly)
    • meetings with the leaders of religious clubs (together or individually) to listen to concerns and ideas and to coordinate projects and events
    • celebration and/or commemoration of the holy days of Jewish, Muslim, Hindu and other faith traditions, as appropriate
    • Participation in the Tunnel of Oppression/Hope and Global Village, presenting the religious diversity of campus
  • Publicize and promote such events through Facebook, announcements, tabling, etc.

  • Help to oversee the Multifaith Sanctuary and Meditation Room, including regular assessments of supplies, status and general upkeep of the space

Liturgical Coordination Ministry

  • Serve as resource and support for Liturgy Interns and Liturgical Ministers.
  • Assist Director of Liturgy and Music in Acolyte formation.
  • Participate in the rotation of Prayer Writers for the Prayer of the Faithful as needed.
  • Prepare Programs for Special Liturgies.
  • Serve as MC when requested for Special Liturgies: Welcome Weekend, Mass of the Holy Spirit, Golden Circle, Family Weekend, Triduum and Commencement.
  • Maintain regular coordination with Director of Liturgy and Music and Liturgy Interns.
  • Days/times needed will include Weekly Liturgy Planning Meeting/Breaking Open the Word, Office Hours/Liturgical Organizing, Sunday 6 & 9 p.m. Liturgies and Regular one-on-ones with supervisor, and other days/times as needed
Before liturgy
  • Arrive at Mission Church 45+ minutes before the Liturgy for Preparation and/or Rehearsal.
  • Touch base with each Liturgy Intern and provide support as needed.
During liturgy
  • Provide a graceful, hospitable presence in leading the Congregation in prayer and song.
  • Serve as a minister to the ministers.
After the liturgy
  • Assist Liturgy Interns in post-liturgy organization (Books, hand-outs, etc.)
  • Encourage participation in Hospitality/Social following 9 PM Liturgy.
Additional Responsibilities
  • Assist Director in planning and presenting Liturgical Formation gathering.
  • Work with Director and Interns to plan and schedule prayer and social events for the Liturgical Ministers.

Music Ministry Accompanist

  • Days/time needed will include weekly liturgy and music planning meeting/Breaking Open the Word, Wednesday evening rehearsals, office hours/Music organizing, Sunday 6 & 9 pm Liturgies and rehearsals, and other days/time as needed.
  • Recruit and maintain communication with choir members.
  • Follow-up on Campus Ministry "data forms" and contact students who check "music."
  • Prepare binders and choir copies for Wednesday rehearsals and Sunday.
  • Submit any announcements for Sunday liturgies by the previous Wednesday morning.
  • Compile and regularly update music ministry roster.
  • Keep ongoing record of music selected for liturgies.
  • Maintain regular communication with choir members.
Before liturgy
  • Arrive at Mission Church 100+ minutes before the liturgy for rehearsal
  • Prepare music for distribution to choir
  • Be aware when music inserts are required in addition to the song books
  • Assist Director in rehearsal as needed
  • Sing/accompany as needed and desired
During liturgy
  • Provide a graceful, hospitable presence in leading the congregation in prayer and song
  • Announce music selections in the same hospitable manner as demonstrated by Director
After the liturgy
  • Instruct choir to return music in an orderly fashion to your liking  ;-)
  • Return music and binders to the intern office in Campus Ministry
Additional Responsibilities:
  • Assist Director in planning and presenting workshops for cantors and other music ministers
  • Plan and schedule social events for the music ministers

Proclamation of the Word Ministry

  • Days/time needed will include Weekly Liturgy and Music Planning Meeting/Breaking Open the Word, Office Hours, Sunday 6 & 9 pm Liturgies and Lector preparation session, and other days/time as needed
  • Recruit, schedule and maintain communication with Lectors.
  • Contact students who have expressed an interest in lectoring.
  • Prepare Readings for Liturgy Planning Meeting/Breaking Open the Word and for Sunday Liturgies.
  • Send out readings to Presiders and Lectors 2 WEEKS in advance.
  • Submit any announcements for Sunday liturgies to Peggy by the previous Wednesday morning.
  • Compile and regularly update Proclamation Ministers/Lectors Roster.
Before liturgy
  • Arrive at Mission Church 45+ minutes before the Liturgy for Proclamation Ministers' Preparation Session.
  • Facilitate Preparation Session, offering feedback and constructive criticism/suggestions.
  • Walk Ministers through ritual movement( ie: Procession, Bowing, ascending the Ambo, Vocal Projection/Use of Microphone, Candle Lighting, Prayers of the Faithful).
During liturgy
  • Provide a graceful, hospitable presence in leading the Congregation in Word and Prayer.
After the liturgy
  • Join Recessional Procession.
  • Attend Hospitality/Social following the 9pm Liturgy.
Additional Responsibilities:
  • Assist the Director of Liturgy and Music in planning and presenting Formation and Training Sessions for Proclamation Ministers.
  • Plan and schedule social events for the Proclamation Ministers

Retreat Ministry

  • Meet twice weekly with the Director of Retreats, once for business, once for formation.
  • Assist in the publicity, marketing, and promotion of all retreats and days of reflection, including:
    • SEARCH Retreats
    • Silent/Ignatian Retreats
    • DISCOVER Retreat
    • as well as other days of reflection and programs which may arise throughout the year.
  • Help with office jobs and any necessary work related to, but not limited to retreats, special events, etc.
  • Assist with the registration and communication for retreats.
  • Participate in the 5-day Ignatian Retreat in anticipation of facilitating the Spring Quarter Silent Retreat.
  • Help review retreat evaluations and assess retreat programs in conversation with the campus minister(s) and/or retreat leaders.
  • Maintain organization of all retreat supplies, pack supplies for each retreat, and help re-organize closet and intern office weekly.
  • Support other campus ministry programs and collaborate as necessary to assist days of reflection and retreats others are leading.

Sacramental Formation

  • Intern will be a fully initiated Roman Catholic and demonstrate respect for other faith traditions.
  • Meet weekly with supervisor
Rite of Christian Initiation of Adults (RCIA)
  • If Intern is unfamiliar with the Rite of Christian Initiation of Adults (RCIA) process, s/he will commit to learning about the process through reading, workshops, classes and/or conversations with supervisor.
  • Plan and help facilitate weekly RCIA group sessions (Wednesday evenings)
  • Participate in weekly "Breaking Open of the Word" (BOW) with other liturgy interns.
  • Prepare for and lead the Dismissal rite for Catechumens (usually 9 PM liturgies)
  • Meet with students in the RCIA process, as needed, on an individual basis.
  • Assist with rites (dates/times will vary).
  • Must be available for Lenten and Triduum liturgies in 2014
  • Recruit and train other students to lead dismissal rite.
  • Help with formation of sponsors and neophytes (recently initiated students).
Sacrament of Confirmation
  • Provide administrative support throughout the year, especially spring quarter.
  • Assist with the planning and facilitation of catechetical sessions (spring quarter).


**Adaptations to this job description may be made with mutual agreement during the course of the academic year based on gifts and interests of interns and the needs of the Campus Ministry.
